JOB FUNCTIONS
The Receptionist has responsibility for being the first impression many have of the company whether in person or by telephone. The role also assists with a variety of administrative tasks for the Corporate Team as well as assisting with the company with general office administration. The opportunity to be a part of the SolutionOne Corporate Team is an invitation into an extended family. Each and every team member enjoys getting up each day and interacting with colleagues. ABOUT THE COMPANY
SolutionOne is deeply entrenched within the Mornington Peninsula and responsible for providing technical support, consulting services, and hardware supply to over 1000 organisations locally and more than 40 schools across Eastern and Southern Metro Melbourne with direct hands-on and remote IT support. SolutionOne has a strong presence in the education sector, through their education division, Edunet, we supply 450 schools with IT hardware providing experienced advice ensuring schools are making the best decisions to enhance students learning experiences. Our current receptionist is moving to a different role within this team which has opened up a new opportunity to join this team.

QUALIFICATIONS, EXPERIENCE AND ATTRIBUTES
  • Experience in front office receptionist responsibilities desirable but not essential
  • Proficient Microsoft Office skills

KEY RESPONSIBILITIES
Phone duties Primary team member to answer, screen, and forward incoming phone calls with accurate detail.

Reception duties Primary team member to greet visitors, welcoming, directing and announcing them effectively.

Email management Management of the Corporate Support Mailbox.

Internal Systems - Administration Utilise internal ticketing and billing systems across multiple departments. Maintain client documentation to keep accurate centralised records.

Engineer Scheduling Work with Engineer and clients to schedule onsite and remote service calls escalating to the Service Delivery Manager.

Escalation Identify when a ticket requires technical escalation and use correct escalation process or when a ticket requires technical escalation that other Engineers are working.

Office admin Perform other duties, accepting payments, shopping for office supplies and tearoom supplies, preparing refreshments for clients, catering etc, working with external suppliers as required (cleaners, rubbish collections, first aid, trades).

Vehicle admin Tracking use of company vehicles and associated costs such as fuel, etags, servicing and insurance.

Ad hoc Other tasks as directed.
